PD World Tanzania Vacancies : Accounts Officer Payables- Ports and Terminals
Job Function
Responsible for managing and processing all vendor invoices, ensuring timely payments, and maintaining accurate records. This role involves working closely with vendors and internal departments to resolve any discrepancies and ensure smooth financial operations.
Key Performance Areas:
Invoice Processing:
- Review and verify invoices for accuracy and completeness.
- Receiving documents and match invoices to PO and Delivery Note (3-way match).
- Code invoices and enter invoice data into the accounting system.
- Record properly in the accounting system all invoices subjected to VAT and withholding tax.
Vendor Management:
- Maintain accurate and up-to-date vendor records.
- Resolve any issues or discrepancies with vendors.
- Respond to vendor inquiries and provide information on payment status.
Payment Scheduling:
- Review and prioritize invoices according to payment terms and company policies.
- Prepare payment batches and ensure timely and accurate payments.
- Process payment for all taxes and other regulatory payments.
- Process staff related payments
- Prepare and process checks, ACH transfers, and electronic payments.
- Send payment advice to suppliers
Reconciliation:
- Reconcile vendor statements to accounts payable records.
- Investigate and resolve discrepancies between vendor statements and accounts payable records.
- Prepare account reconciliations and assist in month-end and year-end closing processes.
Compliance and Reporting:
- Ensure compliance with company policies, procedures, and accounting principles.
- Prepare reports on accounts payable activity, including aging reports and payment summaries.
- Monitor and manage accounts payable aging reports.
- Assist with audits by providing necessary documentation and information.
Continuous Improvement:
- Identify and recommend process improvements to increase efficiency and accuracy.
- Implement best practices and ensure adherence to internal controls.
Qualifications Required:
- Bachelor’s degree/diploma in accounting, Finance, or a related field preferred.
Experience and Skills Required:
- Minimum of 3 years of experience in accounts payable or a similar role.
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle), Microsoft Office Suite (Excel, Word).
- Strong understanding of accounting principles, accounts payable processes, and financial regulations.
