STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Language: Fluency (level C) in English and Swahili language.
Experience: Seven years of experience in the related functional area. Proficiency in current office software applications and web-based management.
ORGANIZATIONAL CONTEXT
The Common Back Office (CBO) initiative proposes to streamline key operational areas of participating agencies by harmonizing procedures and consolidating support services into one facility at the country level. This consolidation is expected to reduce duplication of functions and administrative and transaction costs, while the harmonized procedures are expected to, at the same time, increase the quality and effectiveness of these services.
The CBO unit will provide common identified services in Common Procurement, Common Logistics, Common Human Resources, Common ICT, Common Finance and Common Administration (including Facility Management) to the United Nations participating entities. Additional services could be included as per agreement between the participating entities and the CBO unit through the hosting entity.
JOB PURPOSE
To coordinate the delivery of quality, client-focused, value-for-money oriented administration services.
KEY ACCOUNTABILITIES (not all-inclusive)
- Supervise and guide a team of staff, acting as a point of referral for them and support them in carrying out their responsibilities, to ensure individual and team objectives are met in compliance with the relevant regulations, policies and procedures, and performance plans.
- Coordinate management of CBO protocol requests, monitor requirements and contribute to the estimation of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
- Coordinate the provision of protocol services, reporting and recommending solutions to rectify any major issues, to ensure the provision of timely services to CBO clients.
- Undertake in-depth analyses of a range of data and compile and prepare comprehensive reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of CBO requests.
- Coordinate, monitor and process administrative actions related to protocol, including contracts with external vendors, to ensure all data is accurately and timely recorded, processed in CBO systems and any operational issues addressed.
- Contribute to the revisions and updates of CBO administrative processes and plan, to ensure the continuous improvement of protocol services and smooth implementation in the area of responsibility.
- Answer a range of complex queries, supporting resolution of various daily issues in order to facilitate the maintenance of the right contacts and support partnerships and activities with Ministry of Foreign Affairs,
- Department of Immigration and various vendors in the area of responsibility.
- Provide training and guidance to staff in interpretation of administrative procedures, policies, processes, and use of CBO systems, to ensure consistency and efficiency of services provided to all CBO clients.
- Support other related duties as assigned by Head of CBO.
