- Vacancy Title: Receptionist
- Job Summary: As a receptionist, you will be the face and voice of our firm, providing exceptional customer service and administrative support. You will greet visitors, answer phone calls, and perform various clerical tasks to ensure the smooth operation of our front desk.
Responsibilities:
- Greet and welcome visitors with a friendly and professional demeanor.
- Handle and redirect call through the switchboard
- Manage incoming and outgoing mail and packages.
- Schedule appointments and manage conference room bookings.
- Assist with administrative tasks such as data entry, filing, and photocopying.
- Handle inquiries and provide accurate information about the company and its services.
- Maintain security by following procedures and controlling access via the reception desk
- Collaborate with other administrative staff to ensure seamless communication and coordination.
- Uphold company policies and procedures regarding confidentiality and professionalism.
The ideal candidate should have:
- Advanced diploma or equivalent qualification.
- Additional certification in office management or administration
- At least 2 years of proven and relevant experience as a receptionist or in a similar role.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy
- Ability to remain calm and courteous under pressure.
- Fluent in English and Swahili
